Patient Care Specialist II

About the role

The Patient Care Specialist II provides advanced administrative support to ensure smooth daily operations of a medical office. Working directly with patients, families, and clinical staff, the specialist handles registration, insurance verification, referrals, and basic billing while maintaining strict HIPAA and privacy standards.

Key responsibilities

• Greet, register, and check‑in patients, ensuring accurate demographic, insurance, and consent information in the EHR.
• Collect and process copayments, following cash‑handling and reconciliation procedures.
• Verify insurance eligibility, obtain authorizations, and document results in the patient record.
• Answer and route phone calls, schedule or reschedule appointments, and keep daily appointment calendars up to date.
• Process urgent specialist referrals, appointment ticklers, and medical record release requests.
• Perform clerical tasks such as filing, faxing, scanning, and uploading documents into the EHR.
• Review patient accounts for outstanding balances or documentation errors and collaborate with billing to resolve issues.
• Maintain full HIPAA compliance, safeguard patient information, and report potential breaches.
• Audit registration data and referral documentation for accuracy and compliance.
• Support the Practice Manager and care team with assigned administrative duties.
